Privacy Policy

ProFire Inspect (“we”, “us”, or “our”) provides field inspection software for fire protection contractors through our website (profireinspect.com), office web app (app.profireinspect.com), and iOS app (together, the “Service”). This Privacy Policy explains what information we collect, how we use it, and your choices.

Who this applies to

This policy applies to people who visit our marketing site, create or use an account, or use the ProFire Inspect mobile or web apps on behalf of a fire protection company.

Information we collect

We collect information needed to operate the Service:

• Account information: email address, password (stored in hashed form), display name, and role within your company account.
• Company and job data: client/site details, job numbers, assignments, and related business records you enter.
• Inspection content: form answers, deficiencies, notes, signatures, and other report data you create.
• Photos and files: site or equipment photos and captions you attach to jobs or reports. Photos may include metadata added by your device (for example, if your camera embeds location EXIF data).
• Technical logs: basic server logs such as IP address, timestamps, and request metadata used to keep the Service secure and reliable.

We do not use advertising identifiers, third-party analytics SDKs for marketing, or cross-app tracking in the ProFire Inspect apps.

How we use information

We use the information above to:

• Authenticate users and manage company accounts
• Store and sync inspection drafts, photos, and job history
• Generate PDF reports and related exports
• Provide support and respond to inquiries
• Maintain security, prevent abuse, and improve reliability

We process this information for app functionality and operating the Service—not for selling personal data or advertising.

Where information is stored

Account and inspection data are stored on our hosted backend at api.profireinspect.com and related infrastructure providers we use to run the Service. Data may also be cached on your device for offline field use until it syncs.

Sharing

We do not sell your personal information. We share information only as needed to operate the Service, for example:

• With infrastructure and hosting providers that process data on our instructions
• With members of your company account who are authorized to access the same jobs and reports
• When required by law, or to protect the security and integrity of the Service

Data retention

We retain account and inspection records for as long as your organization uses the Service and as needed for legitimate business, security, and legal purposes. You may request deletion as described below.

Your choices and requests

You can update profile information in the app where available. To request access, correction, or deletion of personal data associated with your account, email profireinspect@gmail.com. We may need to verify your identity and that you are authorized to make the request for a company account.

Children

The Service is intended for business use by adults. We do not knowingly collect personal information from children.

Changes

We may update this Privacy Policy from time to time. The “Last updated” date at the top will change when we do. Continued use of the Service after an update means you accept the revised policy.
